Create a PO and Receive From Your POS (POS)

This training provides a comprehensive, step-by-step guide to managing your inventory efficiently within CITYHIVE. We will cover the entire process from creating a purchase order to successfully receiving inventory, ensuring accuracy and streamlined operations.

1. Filter Inventory Insights

To begin, navigate to Inventory Insights using the top navigation bar. Utilize the Filters panel to refine your product view, sorting by criteria like Profit, Type, Status, Movement, Price, On Hand, and Advanced Filters. You can also filter or sort by distributor to group all products from a single supplier, then use these results to accurately match items against your physical or digital order sheet.

2. Add Products to Your Cart

Next, add products to your cart. Click the quantity field next to a product to open the Stock Units window. Here, you can choose to add items by the bottle or by the case, depending on how they were ordered. Use the plus or minus stepper to set the desired number of units, then select 'Update items'. The chosen quantity will then be reflected in the Cart column for that specific product.

3. Review the Purchase Order Carts Panel

After adding items, click the cart icon in the top right corner to open the Purchase Order Carts panel. This panel organizes your items by distributor, providing a clear overview. Each product line displays the case or bottle price, along with a running line total. You can adjust quantities directly within this panel using the plus or minus stepper if any changes are needed before proceeding.

4. Preview the Purchase Order

Before finalizing, select 'Preview Purchase Order' under the distributor you are ordering from. Carefully review the items list, including the original products subtotal, any sale price discounts, the updated subtotal, and the calculated tax. Confirm that the total amount displayed at the bottom of the window is correct. Once everything looks accurate, select 'Create Purchase Order' to submit your order.

5. Purchase Order Created

Upon submission, a green checkmark and a 'Purchase order created' message will confirm that your order has been successfully placed. The order summary remains visible, detailing the items, subtotal, tax, and total for your reference. Once you have reviewed this information, select 'Close' to return to Inventory Insights and continue with your other tasks.

6. Navigate to Purchase Orders

To track your order, open the 'Ordering' dropdown menu in the top navigation bar and select 'Purchase Orders' from the list. The Purchase Orders list provides a comprehensive view of each order, including its ID, distributor, creation date, delivery date, items, total cost, and current status. Locate your recently created order, which should have a 'pending' status.

7. Begin the Receiving Process

To initiate the receiving process, open the purchase order to view its detailed page. Review the 'Items', 'Purchase order details', and 'Receivings' sections to ensure all information is accurate. Then, select 'Begin Receiving Process' in the top right corner. In the 'Receive Purchase Order?' confirmation window that appears, select 'Receive' to start the receiving for all items included in the order.

8. Match and Review the Receiving Line

The Receivings page will open, displaying the distributor line with ordered, received, backordered, and rejected or damaged quantities. Under the 'Receiving line' section, confirm that the matched inventory item is correct. If needed, you can select 'Change' or 'Unmatch'. Proceed to enter the actual received, backordered, and rejected or damaged quantities. Finally, confirm the current and new quantities on hand shown for the item.

9. Confirm Cost and Pricing

Review the 'Unit cost' field. If the cost has changed from the original purchase order, update it here to reflect the new price. Verify the 'Current cost' and 'Line total' displayed below the 'Cost' section. Additionally, review the 'Margin %', 'Price', and 'Sale price' fields, adjusting the pricing as necessary. Once all quantities, costs, and pricing are confirmed, select 'Save Line' to apply your changes.

10. Commit the Receiving

After every line item has been saved, the receiving will show a status of 'draft'. To finalize the process, select 'Commit' in the top right corner of the Receivings page. A 'Commit Receiving?' window will appear, asking you to review the confirmation. This action will add the received items to your inventory and apply the new pricing. Select 'Commit' to complete the receiving process.

11. Verify in Receivings

To verify the completed receiving, open the 'Ordering' dropdown and select 'Receivings'. Locate your specific receiving by its Receiving number, distributor, created date, items, and total cost. Confirm that the 'Status' column now shows 'committed'. This indicates that your inventory quantities and pricing have been successfully updated to reflect this receiving transaction.

12. Workflow Summary

This workflow covered sorting Inventory Insights, adding products to your cart, previewing and creating purchase orders, and initiating the receiving process. We also reviewed confirming quantities, cost, and pricing, committing the receiving, and verifying the committed receiving in the list.
