Using the CityHive Time Clock System
This training provides a comprehensive guide on effectively using the CityHive Time Clock system. We will cover adding employees, managing clock-ins and breaks, and accessing important time clock reports.
1. Overview of Time Clock Functions
Our overview outlines the key functionalities of the Time Clock system. We'll begin by covering steps one through three, which focus on adding a new Point of Sale employee. Next, steps four through eight detail the process for clocking in, managing breaks, and clocking out. Finally, step nine will guide you on how to access and utilize the Time Clock Report for comprehensive insights.
2. Accessing the Time Clock Feature
To begin, navigate to the Time Clock feature within CityHive. From the left-hand menu, select "Point of Sale," then choose "Time Clock." Once you're in the Time Clock interface, you'll find an option to add new employees. Simply click the "+Add Employee" button to proceed with setting up your staff.
3. Selecting an Employee User
When adding a new Point of Sale employee, a dedicated window will appear. In this "Add POS Employee" window, you'll need to search for the specific user. Use the "User" field to search by their name or email address. Once the correct user appears in the list, select them to associate them with the Time Clock system.
4. Assigning Hourly Rate and PIN
After selecting the user, you'll proceed to enter their details. You have the option to input an hourly rate, which is not mandatory but can be useful for tracking. Crucially, you must assign a unique PIN code for the employee, consisting of four to eight digits. This PIN will be used for clocking in and out. Once these details are entered, click "Add Employee" to finalize the setup.
5. Initiating Employee Clock-In
Once an employee has been successfully added, they will appear in your Time Clock list. Initially, their status will be displayed as "Clocked Out." To begin their shift, the employee simply needs to click the "Clock In" button next to their name. This action will change their status and start tracking their work time within the system.
6. Entering the Employee PIN
To confirm their clock-in, the employee will be prompted to enter their unique PIN code. A numeric keypad will appear on the screen for this purpose. They should carefully input their assigned four to eight-digit PIN. After entering the correct code, click "Continue" to finalize the clock-in process and officially begin their shift.
7. Managing Breaks and Clocking Out
After an employee has clocked in, the Time Clock window will update to show their "Clocked In" status and the duration they've worked so far. From this screen, employees have two primary options: they can either click "Start Break" to temporarily pause their work time, or they can click "Clock Out" to end their shift entirely.
8. Clocking In via the Register
Employees also have the flexibility to clock in directly from the register interface. To do this, they should click "Time Clock" located in the top bar of the register screen. A prompt will then appear asking "Who is clocking in?". From the list of employees, they simply select their name to initiate their clock-in for the shift.
9. Concluding Breaks and Shifts
When an employee is on a break, the Time Clock window will clearly indicate an "On Break" status, along with the time their break began. To resume work, they should click "End Break." Alternatively, if they are finishing their shift, they can select "Clock Out." This ensures accurate tracking of both work and break durations.
10. Accessing Employee Time Clock Reports
To gain insights into employee work hours and breaks, you can access the Employees Time Clock Report. Navigate to the "Analytics / Reports" section within CityHive. From there, open the "Reports" tab. Within this tab, you will find and select the "Employees Time Clock" option to view detailed breakdowns of employee shifts and break times.
