This guide provides essential steps for managing invoice payments within the CityHive POS system. We will cover activating invoice payment for customers, processing payments at the point of sale, and locating outstanding orders.
1. What Is Invoice Payment?
Invoice Payment allows merchants to complete a sale for a customer without immediate payment. The order transitions to a "Fulfilled" status, with payment collected separately at a later time. This guide will cover activating invoice payment on a customer profile, selecting it in the Collect Payment screen, understanding the order's status after using invoice payment, and two methods for finding fulfilled, unpaid orders.
2. Activate Invoice Payment on the Customer
The first step is to activate Invoice Payment for a customer. Begin by finding or creating the customer within the Customers area. Next, open their profile and navigate to the Invoice Payment panel, which is located below Payment Methods. Finally, click "Activate Invoice Payment" to enable this feature for the customer. Until activated, the system will indicate that the customer does not have Invoice Payment active.
3. Collect Payment at the POS
Once Invoice Payment is active, you can process an order at the Point of Sale. Ring up the customer's order as you normally would. Then, click "Pay" to open the Collect Payment screen. From the list of available payment methods, select "Invoice Payment." After this selection, the order will be completed and marked as "Fulfilled," indicating that payment will be collected separately at a later time.
4. Locate an Unpaid Invoice Order
There are two primary methods for locating an order that has been paid with Invoice Payment. Option A involves going to the customer's profile and finding the specific order there. If a payment method is already on file, you can attach it to collect payment, or process payment using another method. Option B is to navigate to the Orders section, then filter by "Order Source: Dashboard" and "Order State: Fulfilled" to quickly find outstanding invoice orders.
5. Charge the Order
To finalize an invoice payment, open the specific order and click "Edit." Within the Customer Details section, you can either click "Add Payment Method" to introduce a new payment option or utilize an existing payment method already on file. Once the payment method is applied, click "Update" to save the order. This action will clear the order's "Pending Invoice" badge, signifying that the payment has been successfully processed and the order updated.
6. Invoice Payment, Start to Finish
To recap, the process involves five key steps: first, activate Invoice Payment on the customer's profile. Next, ring up the order and select Invoice Payment at checkout. Then, locate the unpaid order, and finally, collect the payment.
