Process a Cash Sale at the Register (POS)
This training provides essential information on processing cash sales efficiently and accurately. We will review key steps from building a customer's cart to finalizing the transaction and providing change.
1. Overview of a Cash Transaction
Let's begin with an overview of the entire cash transaction process. This guide will walk you through each stage, starting with adding items to the customer's cart and concluding with printing the receipt. The six key steps include building the cart, opening payment, choosing cash, entering the amount, confirming change, and finally, finishing up the sale.
2. Building the Cart
The first step in any transaction is to build the cart. You'll scan or search for each product the customer intends to purchase. As items are added, they will automatically appear in the Cart Items list, where you can manage quantities and view pricing. Simultaneously, the Order Summary panel on the right side of the screen will update in real-time, reflecting the subtotal, tax, any convenience fees, and the grand total as items are added or removed.
3. Opening Payment and Choosing Cash
Once all items are in the cart and the order is ready, tap the 'Pay' button to open the Collect Payment window. This action initiates the payment collection process. For this specific walkthrough, we will select 'Cash' as the payment method to proceed. Remember, the order total is always prominently displayed at the top of the Collect Payment window, providing a quick reference for the amount due.
4. Entering the Amount Tendered
After selecting cash, you'll need to enter the amount the customer has tendered. You can efficiently do this by using the quick-cash buttons, which are pre-set for common bill amounts like one, five, ten, twenty, fifty, and one hundred dollars. Alternatively, if the customer provides an exact or unusual amount, you can use the number pad to type in the precise amount received. The 'Amount Due' field updates live as you enter digits, ensuring you always know how much more, if any, is needed to complete the payment.
5. Confirming Change Due
Once the amount tendered has been entered, the system automatically calculates the 'Change Due' amount. This figure indicates precisely how much cash needs to be handed back to the customer. It's a good practice to double-check this calculated change amount for accuracy. After verifying, simply tap the 'Pay' button to finalize the transaction and complete the cash sale.
6. Finishing the Sale
With the payment successfully collected, a green checkmark will appear, confirming that the order is complete and displaying the final total. From this point, you will give the customer their change. You then have the option to either print a receipt for the customer or select 'New Sale' to immediately begin the next transaction. This ensures a smooth and efficient checkout experience for both you and the customer.
7. Quick Recap of the Process
To quickly recap, the process involves scanning items into the cart, tapping 'Pay' and selecting 'Cash', entering the amount tendered, confirming the change due, tapping 'Pay' to complete the sale, and finally, printing a receipt or starting a new sale.
